The requirements are as follows

  • INTRODUCTION of the Service Provider
  • The time since the inception of the the company providing the service.
  • PAN CARD
  • GST Number
  • Introduction of the company with Previous experience in conducting similar large scale conferences in the past.

The AV requirements are as follows:

The Venue for the conference is Chennai Trade Center and the Conference will be held between 8th and 11th of December - inclusive of both days.

  • Five halls - two (Halls A and B) in the convention center with a provision for both the halls being made into a single hall during plenary sessions daily between 11 and 2 and inauguration ceremony on the first day. The other three halls are in the Hall 2 which is in the above picture.
  • Media room in the convention center is the preview room, which has to be linked with all the halls
  • LED display for all the five halls, with central connectivity to the preview rooms. The media center will be provided with power supply. Halls A and B will require 4 audience mikes.Other halls two each. Podium microphones and chairperson microphones to be provided.
  • Plenary and inauguration is likely to include a VVIP with security protocol. please plan accordingly for the inauguration.
  • All Halls will have a podium with a LED TV to display the identity of the person. Pl add provision for additional projection in big halls if necessary. There must be a chairperson display to be viewed from the dias in all halls.
  • Live feed out from all the halls as is displayed on screen for intranet projection within the venue.
  • Live display in the halls of the speaker and the panelists on either side of the LED screen. The live video is captured by your person and given to the organizing committee.
  • Separate quote for a projector in one of the meeting rooms on the other side of the media room in the convention center with a provision for feed
  • Hall A and B must be able to take in a live feed from some other center.
  • If you have a provision for internet connectivity of the entire venue - this may be provided as a separate annexe
  • Please add a provision for another AV - will be an LED/LCD projection in a nearby hotel for the covocation. That will be a standalone unit. This will be another annexe quote.
  • Seating capacity of halls is mentioned in the images. Hall C 500 pax, Halls D and E 300 pax.
  • Extend a separate quote for about 40 standalone TV units for Abstract session. This will be in a separate enclosure. with a provision for increase or decrease in numbers based on requirement.
  • Please also include a provision for another hall - a product theater with AV facility - LED display and AV provision - a seating capacity of about 200 pax.
  • The portal for live feed can also be specified and any services on the same may be mentioned in the quotation specifically
  • If there is a tie up with app based viewing this may be mentioned in an annexe for consideration.
